For more than seventeen years, Eventival has been powering some of the world's most respected film festivals, markets and cultural events. What started as a production tool for a handful of festivals has grown into the industry's most comprehensive platform for planning, managing and delivering complex events.
Unlike many startups, Eventival evolved directly from the daily reality of running film festivals. Building on the experience gained with its predecessor, DataKal, within the Karlovy Vary IFF, one of the world's most important festivals, every new feature was created to solve a concrete operational challenge: coordinating hundreds of guests, managing thousands of film submissions, scheduling screenings, publishing programmes or keeping entire teams working from the same up-to-date information. Over the years, this practical approach has earned the trust of organizations across Europe, North America, South America, Asia and Australia. Today, Eventival is used by film and theatre festivals, film markets, industry platforms, pitching forums, training programmes, film centers and academies, cultural institutions and other event organizers whose work depends on accurate data, efficient collaboration and reliable logistics.
At its core, Eventival is a single source of truth. It connects people, companies, films, projects, venues, events, accreditation, travel, accommodation, schedules, meetings, communication and countless other pieces of information into one integrated system. Instead of maintaining dozens of disconnected spreadsheets, documents and email threads, organizations work from one shared database that keeps everyone on the same page.
For organizers, Eventival is simultaneously a CRM, an operations platform, a planning tool, a publishing system and the backbone of the entire event. Different departments, from programming and guest services to accreditation, transportation, hospitality, communications and production, work with the same data while using workflows tailored to their own responsibilities.
For the professionals and visitors, Eventival is a portal for providing, receiving and exchanging information with the organizers, and a tool to communicate with each other. Filmmakers submit films and manage their projects, industry professionals register for markets and networking events, jury members evaluate entries, guests receive invitations, book services and build personal schedules. Volunteers, partners, exhibitors and attendees interact with the event through dedicated online interfaces, all connected to the same central database.
Yet Eventival is becoming something even broader as it is steadily evolving into a flexible CRM and workflow system for organizations that manage creative communities, projects and events of many different kinds. Television broadcasters, film schools, workshops, cultural institutions, book fairs and other organizations use Eventival to organize events as well as to maintain long-term relationships with their communities, manage complex databases and streamline everyday operations.
Technology, the needs of organizers, and the expectations of audiences keep changing. Eventival has continued to evolve through all of them, refining existing workflows, introducing new services and expanding beyond its original purpose while staying true to the principle on which it was built: software should simplify complex work, not create more of it.
Or, as we claimed in 2009 when Eventival was founded: we put the technology where it belongs, behind you!Every organization has its own way of working that determines its terminology, workflows and priorities. Knowing this from first-hand experience, we have designed Eventival to be able to adapt to whatever process there is in place.
Its roots are in film festivals, where the complexity of coordinating films, guests, venues, screenings, accreditation, travel and hundreds of daily decisions calls for exceptional flexibility. Over the years, that flexibility has made Eventival equally demanded by film markets, pitching forums, industry events, workshops, talent labs and cultural organizations of every size.
Little by little, organizations have begun to use Eventival to manage more than just events but also to maintain alumni and guest databases, coordinate screenings and special projects, organize year-round programmes and manage participants, schedules, communication and logistics.
Behind every organization are thousands of people who interact with Eventival in different ways. Filmmakers submit their work. Sales agents manage film catalogues. Industry professionals apply for accreditation. Jury members evaluate entries. Guests receive invitations and book their travel. Volunteers coordinate their shifts. Sponsors, exhibitors, partners and attendees all access the information relevant to them through dedicated online interfaces. Whether an organization works with hundreds of participants or tens of thousands, Eventival provides one environment where everyone works with the same reliable data.
Many organizations don't realize how many systems they have accumulated over the years until they map them out.
Spreadsheets for guests. Another spreadsheet for hotels. Shared calendars for schedules. Cloud folders full of documents. Separate software for submissions, accreditation, ticketing, email campaigns and registrations. Endless email threads. Information copied from one place to another. The same person's details entered five different times.
Each tool may work well on its own. Together, they create duplicated work, inconsistent data and unnecessary risk.
Eventival replaces fragmentation with a single connected platform.
Every person, company, film, project, venue, event, invitation, booking, screening, meeting and communication exists only once. Departments no longer maintain separate databases—they work with different views of the same information. A programmer changes a screening time, and guest services, hospitality, transportation, accreditation and the public programme immediately see the update.
Instead of asking, "Which spreadsheet is correct?" teams can focus on delivering a great event. At the heart of Eventival is a simple idea: enter information once, use it everywhere.
Everything begins with a shared database that stores the relationships between people, organizations, films, projects, events and every activity connected to them. Around that database, Eventival provides specialized tools designed for different teams and different audiences.
Organizers work in the Back Office, where they manage operations, planning and logistics. Professional participants, guests and audience interact through customizable Visitor Pages. The organizers' public websites can automatically publish selected information directly from the database. Eventival Account allows users to maintain their own profile across multiple organizations and events, reducing repetitive registration while creating continuity between festivals and the people who attend them.
Because every part of the platform is connected, information flows naturally instead of being copied between systems. A submitted film can appear in the selection process, become part of the official programme, be scheduled for screenings, published on the website, included in catalogues, connected with guest travel and accommodation, and archived for future editions, all without being entered again. The result is not simply automation but something even more important: consistency.
Many of our clients have been working with Eventival for a decade or more. Some have grown from small local festivals into internationally recognized events without ever needing to replace their core system, others started with one module and gradually expanded their use of Eventival as their needs evolved.
This has been possible because we never stood still. After every completed edition and with any major staff change, we ask our clients to come forth with new ideas and propose better workflows that only became apparent under real production deadlines. Eventival obviously reacts to technology trends, but it also adapts to the changing realities of cultural events. Behind the software is a team that understands the industry because it has always been a part of it and kept their eyes and ears open. Our support is there to solve technical issues but also to help our clients find better ways to manage complex operations.
Choosing an event platform is a decision that shapes years of work. Eventival has always meant to be a system that organizations can grow with, not grow out of.For at least ten years, Eventival was known primarily as software for film festivals, but today, that description no longer tells the whole story.
Events may last a few days, but the relationships they create continue throughout the year. Organizations stay connected with filmmakers, artists, industry professionals, partners and audiences long after the closing ceremony. Because managing those relationships is equally important as managing the event itself, Eventival is expanding beyond event production into a platform that supports entire creative communities.
Our clients increasingly use it to maintain long-term databases, coordinate projects, manage submissions and selections, communicate with their networks, publish information and preserve institutional knowledge from one edition or one year to the next.
Similarly, Eventival is becoming more valuable for the people who use it. Eventival Account eliminates the need to create a new account for every festival, and we want to go further by eliminating the need to enter identical information dozens of times and making sure that returning guests are recognized, not registered from scratch.
A shared ecosystem in which organizations and the people they work with are seamlessly connected is making participation easier, collaboration stronger and data more meaningful for everyone involved.
